Being able to track time on milestones has been the most requested feature. Just like projects, you can now track time on milestones and tasks!

You can also edit the timer manually by launching the milestone editing window.

On the right side of the Timer fields, your total earnings will be displayed. This is a multiplication of your hourly rate by the total time spent on this milestone.

The project editing window went through some changes as well.

Project Timer: This remains unchanged. The project’s timer is independent of its milestone timers. If you’ve been using the project timer all these while, you can continue doing so without changing any habits.

Total Timed Amount: This amount is calculated by adding the project’s timer values to the total time tracked on all milestones.

Grand Total: This figure is based on the calculation of Amount (the amount displayed on the left of the modal window) + Total Timed Amount

Total time tracked on all milestones: This is the total time you’ve tracked on all milestones associated to this project

2. Adding Multiple Clients

Previously, if you add multiple clients of different contacts but with the same company’s name, there is no way to tell which is which when selecting a client from a drop down menu. We solved this problem by adding the person’s initials beside the company’s name.

3. Increased Legibility of White on Black Texts

We’ve adjusted all fonts for better readability when they are white on black, especially on form fields.

We hope this small adjustment provides you with a better reading experience.

That’s all for now, hope you enjoy this update!

If you use a Mac, and use Alfred, creating a new milestone, task or link can now be done at lightning speed.

Haven’t heard of Alfred? Alfred is an app launcher but it comes with so much more. They recently added a new feature called extensions, which truly opens up a world of endless possibility.

Note that in order to use the extensions feature of Alfred, you’ll need to purchase the Power Pack (£12).

Once you have Alfred running with the Power Pack, setting up the extensions is easy:

Step 1

Download the extensions. You’ll receive a zip containing two extensions, one for creating milestones and the other for creating links.

Step 2

1. Double click each extension
2. Alfred preferences will launch
3. Click Import

Step 3

In your SUBERNOVA account, go to Settings and copy your API Key as seen in the screenshot above.

Step 4

1. Paste your API Key into Alfred where it says YOUR_API_KEY
2. Click Save

This step should be done for both Milestones and Links extension.

Now you have the extensions setup and ready to create milestones, tasks and links via Alfred.

Create a new milestone or task via Alfred

If you love email and use it a lot, this feature will save you some time.

You can now send an email to SUBERNOVA to quickly create a new milestone, task or link.

Here’s how:

Create a new milestone or task via email

You’ll need to send the email via the email account you used for your SUBERNOVA account. This is such that we can identify the right account to add the milestone or task to.

Send email to: milestones@subernova.com
Email subject line: [Milestone name] ^[Date]
Email body: This text will be used for the milestone’s description
Example: Design of website to be completed ^today

*More info:

Dates: Just like creating a milestone in SUBERNOVA, you can enter dates in human language, for example, now, today, tomorrow, 5 days, next week, may 29, 29 may, 29/5, 5/29 etc.

Create a new link via email

Again, send the email via the email account you use for your SUBERNOVA account.

Send email to: links@subernova.com
Email subject line: [Link name] [URL]
Email body: This text will be used for the link’s description
Example: SUBERNOVA website http://www.subernova.com

*More info:

You must include http:// or https:// in your URL to indicate that this is a link

Just the link: If you want the URL to be the link’s name, just leave out [Link name] in the subject line, eg. “http://www.subernova.com”

Link in body: You can also include the [URL] in the body instead of in the subject, and use the subject line just for the [Link name]. This is particularly good for emailing links when using iPhone’s Mobile Safari.

This update includes two of the most requested features pertaining to invoicing!

1. Ability to set payment due date (payment terms)
2. Recurring invoices

These are also two of the most important features.

Set Your Own Payment Due Date

Previously, the payment terms was default to 30 days with no option to change it. Not anymore.

You can now set your own payment terms. Due on receipt? 5 days? 10 days? 30 days?

Your choice.

Automatic late invoice reminders will be sent out for invoices with due dates that are more than 10 days from the date of issue.

Set Your Default Payment Due Date In Settings

You can set your default invoices due date so you don’t have to do it over and over again when creating future invoices.

Go to Settings > Invoicing and input the number of days your invoices should be due in.

The next time you create an invoice, the payment due date will be retrieved from your settings.

Recurring Invoices

This is another “set it and forget it” feature apart from our long standing automatic invoice reminders, scheduling email to your clients etc.

Recurring invoices can be used to regularly charge your clients for eg. monthly retainers, monthly newsletter updates, yearly hosting fee etc.

SUBERNOVA now takes a load off you by helping you fire off invoices at set intervals.

We hope that this update helps your business become more efficient!

Previously, we begin supporting SSL encryption for your data, but there was no way to turn this on or off. If you missed the announcement, or don’t know what SSL is, read this post.

Now you can have the options to enable or disable SSL.

Why?

Why the option? Because when you enable SSL, your interaction between SUBERNOVA and your internet connection is secure, but the down side is that the whole experience could be a little slower. What if you want a faster connection because you’re at home and not using a public computer? You can disable SSL. If you’re at work, or using a public connection, enable SSL for better security.

Where and How?

When you go to Settings > Others, you will see SSL Encryption settings checkboxes for the iPhone and the AIR app. Why no checkbox for the web app? Because you can easily turn SSL on when using the web app by inserting an “s” at the end of “http”, for example – “https://app.subernova.com”.

For the iPhone and the AIR app, checking the checkboxes and means that when you use the iPhone or the AIR app, SUBERNOVA will make all connections using SSL, ensuring security between data transfers.

The choice is yours. :)

SSL existed ages ago but we’re only starting to install it for SUBERNOVA as our user base is growing. SSL ensures that data transferred between your computer and our servers remain encrypted and private.

Why SSL?

As our user base grows, more and more users are using SUBERNOVA on the go. For instance, if you’re using a public WI-FI connection to access SUBERNOVA on any platform (web, iPhone or iPad), your data is transferred to and from an untrusted network. Anyone can eavesdrop on the data you’re transmitting when your data is on the way to our servers and back.

With SSL, your data is encrypted first before transfer. This means that if your data gets jacked along the way, they won’t be able to interpret the data. You can now use SUBERNOVA securely on a public internet connection.

How Does It Affect You?

Not much. SSL is almost invisible to you, except that most browsers will show a lock icon near the right of the address bar, eg. Safari. On Google Chrome, you’ll notice that the address bar turns yellow, letting you know that your interaction with SUBERNOVA is secured and encrypted by SSL.

If you’ve been using SUBERNOVA on the iPhone, iPod Touch or iPad, you’ll notice that we ask you to re-install SUBERNOVA by going to app.subernova.com. This is because we’ve moved our iPhone app to the SSL secured directory. You’ll only need to do this once, the chances of us moving the files again are close to none.

For the AIR app, there is an update available (you’ll see this on your next launch of the previous AIR version). Just update and you’re done.

On the web, everything remains the same. For the web version, you’ll be automatically redirected to https://app.subernova.com if you have not included the “s” in http.

For those of you using your custom domain name to login to SUBERNOVA, you’ll be redirected to https://app.subernova.com as it’s impossible to use SSL on your custom domain. But your custom domain for quotes and invoices remains the same as we’re not using SSL for viewing quotes and invoices.

Conclusion

With a growing user base, it’s imperative to use SSL to secure our users’ data. We hope you are happy with this added security. :)

We’re extremely excited to bring you this essential feature, invoicing! You can now create and send invoices to your clients right in SUBERNOVA. Not only that, you can also create estimates and send it to your clients for approval where all your client needs to do is to click a button to approve.

We’ve made creating invoices and quotes / estimates as simple as possible yet as full featured and flexible as it can be.

*Expired accounts are revived for 10 days so that you can try this out!

How To Start Invoicing?

By clicking the existing “Quoted / Invoiced” checkboxes attached to every project item, you will be able to call up either the quote or invoice creation panel, depending on what you clicked.

User Interface

The quote and invoice creation panel looks similar to each other. For instance, if you clicked on the “Invoiced” checkbox, the screenshot below is what you will see.

You can set everything from invoice number, discounts to currency. You can also edit notes (pulled in from your settings) for each individual invoice.

Once you save the invoice, clicking the “Invoice” checkbox again will show you the same panel, but this time you’ll be presented with the “Permalink” and “Download PDF” buttons.

Similarly for quotes, you can edit the terms & conditions and currency for individual quotes. Not every client is the same so we provide this flexibility where you can set different terms & conditions or currency per quote.

PDF Invoice Design

We designed the PDF to look as professional and appealing as possible. Here’s how it looks:

Permalink – Online View

The online version looks almost exactly like the PDF, but with some added functionalities. You’ll get notified when your client views the estimate or invoice.

The screenshot below shows how an estimate will look like in the browser.

Also view a sample invoice permalink – http://app.subernova.com/billings/view/o1q6XxK1wlU91tYVeREnrMy5MrgiBf

For estimates, your client can approve it by clicking the green “Approve” button. An email receipt will be sent to both you and your client confirming the estimate. If you have a Prowl API registered in SUBERNOVA, you’ll also get a push notification.

What’s more, your client can also view pass estimates or invoices from a dropdown menu.

Automatic Late Payment Reminders

SUBERNOVA will automatically send email reminders to your clients to inform them that payment is late. This is done every 30, 60 and 90 days from the issue date of your invoice. Once you mark the project as “Paid”, no more reminders will be sent. Reminders will be halt too if you set the project back to “Quoted”.

Also worth noting is that email reminders uses your custom message and email signature in your Settings. So please remember to set them!

Your Settings

The settings panel has undergone some re-design.

You can find your new invoicing settings here. First up, upload your logo! Your logo will appear on the PDF and the online viewing page.

If you don’t want your proposals to be named “Quote”, name it “Estimate” or anything else. The same goes for invoices.

The “Invoice Reminder Message” will be used for the existing automatic late invoice reminder feature. Your client will be reminded every 30, 60 and 90 days of unpaid invoice with this message.

Quotes “Terms & Conditions” and “Invoice Note” are templates where you can edit later when creating or editing a quote or invoice.

Custom Domain Name

This is a pretty rare feature among other popular online invoicing tools. When you send an invoice or estimate from SUBERNOVA, instead of using SUBERNOVA’s domain name for these links, you can use your own. This can be done by setting a custom domain name in your Settings.

For example, our domain name is hex.sg. I created a CNAME record in my zone file on my hosting server’s control panel naming it “admin”. I point this CNAME to “subernova.com”. Back in my Settings, I enter admin.hex.sg without “http://” or trailing slashes and save.

Once you set up your own custom domain name, try accessing it. If it was successful, all your invoices and estimates will be using this domain name. You can even use this address to log in to your SUBERNOVA account!

Upgrade Now Before Price Increases

To sum things up, SUBERNOVA has grown into a full fledged online project management tool to keep you more organized, collaborate and manage your staff and co workers, track your time, notify you of due projects and milestones, schedule emails to your clients, available on the web, desktop and iPhone. Now you can even create invoices and quotes.

You can find these features elsewhere, but not usually in one application. As a result, your processes are not streamlined, having to manage different applications that looks and works differently. Not mentioning the high combined cost of all the subscription fees.

The worst thing is that even if you’re a paying customer, you get to only manage a limited amount of projects, limited amount of invoices etc.

In SUBERNOVA, you get unlimited everything and everything in one.

We will be increasing the subscription fee to only $14.99/month or $149.99/year (save $30 or 2 months free!). Still a low fee if compared to existing web apps in the market that only offers a little of this and that.

The Good News:

SUBERNOVA customers: As promised, you will get to keep the original pricing.

Current trial account users: Upgrade with the original price before your account expires.

Expired accounts: Revived for the next 10 days! Upgrade before the extension finishes to lock in the original price.

*All uses who upgraded with the original price will lock in this price for as long as you stay with us!

Thanks to everyone for sticking with us, we hope you had a good start to the new year and the following years to come!

You can now subscribe to projects and/or milestones iCalendar using your favorite calendar app eg. Google Calendar, iCal, Outlook etc. This works on both Mac and Windows. Another great way to integrate SUBERNOVA with your workflow.

By subscribing to SUBERNOVA projects and milestones iCalendar, you only need to create entries in SUBERNOVA to see them in your favorite calendar. Any changes that you make in SUBERNOVA will be synced to your calendar.

As you can see from the screenshot below, the blue strips are projects and fuschia ones are milestones. Project items takes your start and end dates that you specified in SUBERNOVA and lay them out nicely on your calendar. Milestones are displayed as full day events which takes the deadline that you specified in SUBERNOVA.

Projects and milestones iCalendar feed are separate, meaning you can subscribe to either of them or both with your calendar of choice.

The link can be found at the top right hand corner of the app. Just click on it and you’ll be brought to a new page where you can click to subscribe immediately.

You can also use your iPhone to subscribe to the iCalendar feeds by launching your iPhone app and going to Settings. The iCalendar feed can be found at the bottom, just follow the 4 steps to subscribe to your iCalendars.
